Building a better guest arrival flow

Connect room assignments, arrival times and guest details for a smoother check-in.

A prepared twin guest room with blue shutters and keys resting on folded linen.

Choose the rooming unit

Begin with the accommodation model. A whole private room and a bed in shared accommodation require different allocation rules. Decide whether the list names a specific physical room or only the purchased room type. A status such as “private room booked” should not be mistaken for a completed room assignment.

Keep the party visible

A lead guest may book for several people, but each participant still needs a useful record. Keep party relationships and sharing requirements visible without exposing private intake answers. If a guest is replaced or moved, record who made the change and which reservation it belongs to.

Use a small worked example

Example: Party A has two participants assigned to Twin 02; Party B has one participant assigned to Shared Bed 04; Party C has two participants awaiting allocation within the purchased room type. Each row needs the departure, booking reference, participant label and assignment state. These anonymous labels are examples, not customer records.

Keep preparation in the right place

Arrival time, transfer choice and relevant meal information may support the welcome. Full emergency, health or waiver content should not automatically appear in a rooming export. Share the minimum view needed by housekeeping, transport and hosts, using separate access when their needs differ.

Date every export

A downloaded list becomes a snapshot. Add a generated-at time, the departure timezone and the responsible owner. If someone changes rooms after printing, decide how the host receives the update. An old file should not have the same apparent authority as the current operating record.

Rehearse the last-minute change

Before the season, move a test party, cancel one place and change an arrival. Check the rooming list, capacity, transfers and payment outcome together. Then ask the host to use the updated list without help from reservations. The goal is a reliable handover, not merely another spreadsheet export.

Put it into practice

  • Distinguish purchased room type from assigned room/bed.
  • Keep booking and party references with each participant.
  • Limit columns to the recipient’s delivery role.
  • Add generated-at time, timezone and an update owner.
  • Test moves, cancellations and late arrivals.
