Begin with one departure
Start with one real programme structure rather than a list of software features. Record the start and end date, timezone, place limit, booking deadline and minimum enrolment decision. Identify who can change these settings after sales open. The aim is to make the promise to the guest precise before turning it into a checkout flow.
Define the unit being sold
A place on the camp, a shared bed and a private room are not the same unit. Write down which package consumes each resource. If two packages use the same room, they must not have independent stock that can both be sold. Decide whether guests choose a specific room or a room type that staff allocate later.
Work through a sample booking
Example: a seven-night surf week has 24 places across three room types. Eighteen places are reserved, leaving six. A shared-room package costs €1,200 with a 25% deposit: €300 now and €900 later. Those numbers describe an example, not an available trip or a business result. Confirm room fit as well as the remaining headcount.
Separate checkout from preparation
Checkout should collect what is needed to make the purchase understandable: the party, chosen package, payment commitment and relevant acknowledgements. Arrival details and longer preparation questions can follow at the right time. Each participant needs a record even when one organiser pays for everyone; a payer should not automatically receive every private answer.
Rehearse the exceptions
Test the last available room, an expired hold and a failed payment before enabling sales. Then change a participant, move a room and cancel a booking. Check what happens to capacity, the outstanding balance and messages. A minimum-enrolment rule should lead to a clear operator decision, not a silent cancellation that guests discover later.
Finish with the staff handover
Ask the host to prepare the arrival day from the resulting records. Can they see rooms, transfers and outstanding steps without rebuilding the guest list? Agree which system is authoritative, how exports are dated and who handles unresolved questions. That handover is a better acceptance test than whether the booking page looks attractive.
