Solutions / Wellness retreatsThe world you work in

Let guests book the retreat,
room and extras together.

Manage retreat dates, accommodation, deposits, participant questionnaires and arrival plans. Give your venue and facilitators the information they need before the retreat begins.

Folded linen, a ceramic water vessel and a prepared treatment bed in a quiet retreat room.
The booking is the beginning

A dated retreat with rooms and a programme.

Guests choose a retreat date, select a shared or private room and reserve their place with a deposit. Some add a treatment, extra night or transfer. Between booking and arrival, you need dietary requirements, relevant intake information and a clear picture of who has completed preparation.

What needs to work together

The venue needs meal counts and room assignments. A facilitator may need a participant questionnaire. Sending both the same spreadsheet creates unnecessary work and shares information with people who do not need it.

How it works

From the booking to a team ready to deliver.

01

Make the commitment clear

Publish the retreat dates, room choices and programme inclusions. Offer a deposit and instalments so guests can see the full payment schedule before booking. Keep waitlist interest when a room category fills.

02

Collect the information with care

Ask for dietary requirements, arrival plans and the relevant intake questions for your programme. Separate practical venue information from sensitive details that only an appropriate practitioner should access.

03

Prepare the programme and the venue

Create the daily itinerary with sessions, meals, accommodation and transfers. Share a guest guide with packing and preparation resources, and a host briefing with arrivals, rooms and responsibilities.

Routine follow-through

Let the next step follow the booking.

Configure messages around confirmation, payment due dates and arrival. Your team can focus on the guests and tasks that still need attention.

  • After booking

Send the room and retreat summary, payment schedule and preparation link.

  • During preparation

Request the questionnaire and any outstanding documents.

  • Before arrival

Share directions, check-in time, packing guidance and the retreat programme.

What the guest sees

A booking and preparation journey they can follow.

Guests choose the retreat and room, reserve their place and complete preparation through one private link. Their itinerary explains the rhythm of the retreat and the practical details of arrival.

What the operator sees

The booking and the work still to do.

The venue receives rooms and meal requirements. Facilitators receive the programme and information relevant to their role. The operator can review capacity, waitlists, balances and incomplete preparation together.

Practical questions

A few details before you start.

Can we collect programme-specific intake information?

Yes. Ask only what your retreat needs and restrict sensitive information to the relevant people.

Can the room choice change the price?

Yes. Present accommodation and package prices clearly, with the selected stay carried into the booking and rooming list.

What happens when the retreat or a room category fills?

Keep a waitlist for the relevant date or room choice. When a suitable place opens, review the request and invite the guest to book.
