From retreat booking
to a prepared host team.

Follow one participant through a five-night retreat: choosing a room, paying a deposit, completing preparation and arriving to a host who has the details.

01 / The operating model

A fixed retreat date.
A limited set of rooms.

The organiser sells a hosted programme with accommodation, meals and group sessions included. Participants choose a private or shared room, with optional extras such as a one-to-one session or station transfer.

The retreat has a single arrival day and a defined guest group. The organiser needs to coordinate the venue, facilitators and kitchen before that group arrives, while keeping booking and payment information current.

This operating example uses a sample September retreat and fictional participant details.

02 / One participant’s booking

The room choice becomes
the start of the host’s plan.

Eleanor selects the 8–13 September 2027 retreat and a shared Garden twin room. The €1,000 package is reserved with a €250 deposit; the €750 balance is due on 28 July.

A confirmation with a clear next step.

The booking joins the correct retreat date and room inventory. The confirmation shows what has been paid, what remains due and where Eleanor can return to her trip. The organiser sees the same booking in the retreat’s participant list, without entering the room and deposit into another spreadsheet.

03 / Participant preparation

Ask the questions
that change the preparation.

Meals and accommodation

The guest records dietary requirements and relevant room preferences. The kitchen receives the meal requirements it needs, and the host can prepare the rooming list before check-in.

The programme

A short participant questionnaire helps the facilitators understand experience, preferences and relevant preparation needs. Any sensitive questions and access to their answers are set deliberately for this retreat.

Documents and travel

Request the relevant waiver, show the packing and joining information, and collect the arrival time. A station transfer choice becomes an arrival arrangement for the local host.

04 / Communication

Keep the guest informed.
Follow up where it is needed.

The confirmation starts the journey. Preparation messages link to the participant’s outstanding steps, and the balance reminder follows the payment schedule. The operator can see whether the payment, questionnaire and waiver are complete.

As the retreat approaches, the guest receives the meeting point, arrival instructions and programme. An updated joining guide stays useful after the first email, rather than becoming another attachment to search for.

05 / The host handover

Arrive with the room,
meals and welcome prepared.

One retreat, useful views for each team.

The organiser reviews outstanding balances and incomplete preparation. The venue host checks room assignments and arrival times. The kitchen prepares meals from dietary requirements. Facilitators receive the programme and the participant information relevant to their role. The next retreat can reuse the structure, with its own dates, capacity and fresh participant group.
